Exhibitor Information

The AAR family of organizations represents a diverse group that includes residency training program directors and coordinators, department chairs, medical student clerkship directors, research directors, radiology educators at all levels, clinical researchers, chief residents, and residents interested in academic careers. Among our members are many of the leaders of other national radiology organizations. With over 1000 professional registrants, the AAR meeting offers a unique venue in which to introduce or showcase any educational products or publications that could be of interest to our academic attendees.

The 73rd AAR Annual Meeting is scheduled for March 11–14, 2025 at the Westin Bonaventure Hotel & Suites in Los Angeles, California

2025 Annual Meeting Exhibitor Policy

  • The AAR encourages radiology society activities that support research, education and the AAR's overall academic mission.
  • The AAR exhibits will be located in the foyer area outside of where the sessions, meals and/or breaks take place.
  • Exhibit set up will take place from 4:00-6:00 pm on the Monday before the meeting.
  • Attendees will have access to exhibits as follows:
    • Tuesday: 6:30 am – 5:00 pm
    • Wednesday: 6:30 am – 5:00 pm
    • Thursday: 6:30 am – 4:00 pm
    • Friday: 6:30 am – 12:00 pm
  • Exhibit move-out will take place from 12:00 – 2:00 pm on the Friday of the meeting.
  • Exhibitors may staff the booth when they see fit. Below are the suggested times of greatest activity.
    • Tuesday 12:00 – 1:15 pm; 2:45-3:15 pm
    • Wednesday 6:30 – 8:30 am; 9:15-9:45 am; 10:45-11:15 am; 12:15-1:30 pm; 2:30-4:00 pm
    • Thursday 6:30 – 8:30 am; 9:15-9:45 am; 10:45-11:15 am; 1:30-2:00 PM; 3:30-5:00 pm
    • Friday 6:30 – 8:00 am; 9:00 – 10:00 am
  • The cost for a tabletop exhibit is $4,000.00 and AAR will provide the following for each exhibit:
    • One 6’ table and 2 chairs **Due to limited space, only one table will be provided per exhibitor**
    • One 22”x 28” booth identification sign on an easel
    • One wastebasket
    • Two complimentary exhibitor registrations (There will be a charge of $200 for each additional registrant.) CME credit is not available for exhibitor registrants.
    • Complimentary wireless Internet
  • Any additional equipment such as electrical connections, computers, hard-wired Internet connections, additional electrical hookups, etc. will be available for an extra cost upon request through the official service contractors. Contact AAR for information at [email protected].

 

Third-Party Merchandise Sales at AAR Meetings

Exhibitors wishing to sell merchandise or educational materials at their booth during AAR meetings must submit a request to the AAR Executive Committee at least four (4) weeks prior to the meeting start date. The request should include a detailed description of items to be sold, including pricing and payment collection methods. The Executive Committee will review all requests to ensure materials are appropriate and relevant to AAR's educational mission. Approved vendors must display their authorization at their booth, and AAR reserves the right to halt any unapproved sales activities.
